(What to Actually Consider Before You Book)
If you’re trying to figure out how to choose a wedding venue, you’re not alone — this is one of the biggest (and most overwhelming) decisions in wedding planning.
It sets the tone for your day, affects your timeline, your guest experience, your photos… basically everything.
And while it’s easy to fall in love with a space because it’s pretty (which… fair), there are a few really important things you should know before you book.
Because not all venues operate the same way.

1. What’s the Rain Plan? (And Is It Actually Good?)
If you’re planning an outdoor ceremony, this is non-negotiable.
Ask:
- What happens if it rains?
- Where does the ceremony move to?
- How quickly can that transition happen?
And most importantly…
Is it still a space you actually like?
Because a lot of venues have a “backup plan” that feels more like an afterthought.
Also, make sure you ask who is responsible for making that switch happen.
Some venues have staff who will handle moving chairs and setting everything up indoors, while others leave it up to you, your planner, or even your wedding party.
And trust me… the last thing you want is your friends and family scrambling to move chairs in formal wear five minutes before your ceremony.

2. What’s Included (And What’s Not)?
Some venues are full-service. Others are basically a blank slate.
Make sure you know if they provide:
- tables + chairs
- linens
- setup + teardown
- staff
- bar service
Or if you’ll need to bring everything in yourself.
Because that can change your budget a LOT.

3. Do They Allow Outside Catering?
This one is big.
Some venues:
- require you to use their in-house catering
- have a preferred vendor list
- or allow fully outside catering
If food is important to you (which… it usually is), make sure you understand your options early.

4. What Are the Time Restrictions?
This is one people don’t think about until it’s too late.
Ask:
- What time can you arrive?
- What time does your wedding need to end?
- What time does everything need to be cleaned up by?
Because some venues have VERY strict cutoffs.
And that directly impacts your timeline and how much photography coverage you’ll need.
5. Are There Noise Restrictions?
Some venues (especially outdoor or residential-area venues) have:
- music cut-off times
- volume restrictions
- no outdoor music after a certain hour
So if you’re dreaming of a packed dance floor until midnight…you’ll want to make sure that’s actually allowed.
6. How Many Weddings Are Happening That Day?
This one is sneaky important.
Ask:
- Are you the only wedding that day?
- Or are there multiple events happening at the same time?
Because that can affect:
- privacy
- timing
- and your overall experience
(Some venues handle this really well. Others… not so much.)
7. Is There a Getting Ready Space?
And more importantly…
Is it actually usable?
Some venues technically have a “bridal suite”…but it’s tiny, dark, or not practical for hair and makeup.
Think about:
- space for your bridal party
- lighting
- room for vendors
Because this can impact your entire morning as you may need to get ready off-site and plan transportation to your venue.

8. How Easy Is It for Guests?
Put yourself in your guests’ shoes for a second.
Ask:
- Is there enough parking?
- Is it easy to find?
- Are there accommodations nearby?
- Is it accessible for older guests?
A beautiful venue doesn’t feel as great if it’s stressful to get to.
9. How Does This Venue Affect Your Timeline?
Not all venues are timeline-friendly. When you’re thinking about how to choose a wedding venue, it’s not just about how it looks — it’s about how it actually works on a wedding day.
Some require:
- lots of setup
- restricted ceremony times
- travel between locations
- tight turnaround times
All of which impact how your day flows.
If you’re unsure how this all fits together, looking at wedding photography timeline examples can help you understand how different venues affect your day.
Final Thoughts
Choosing a wedding venue isn’t just about how it looks.
It’s about how it actually functions on a wedding day.
As a photographer, I get to see how different venues play out in real time — what feels smooth, what feels rushed, and what ends up being way more complicated than expected.
The biggest difference usually comes down to how well a venue supports your timeline.
Things like:
- how quickly spaces can be flipped
- whether there’s a solid rain plan (and who handles it)
- how much time you actually have in the space
- and how everything flows from one part of the day to the next
All of that directly impacts how your day feels… and how your photos turn out.
I’ve seen beautiful venues feel stressful, and simple ones feel amazing — it almost always comes down to how well they’re set up to support your day.
At the end of the day, the goal isn’t just to pick a venue that looks good.
It’s to pick one that works well for the kind of wedding day you actually want to have.
